Page 3 of 3 Cookie Sale Management System The Cookie Sale Management System allows your Service Unit to keep track of the distribution of cookies, as well as allowing troops to order cookies at their convenience through the website! Troop Cookie Managers would like to order cookies, but don't want to call too late, or too early. This system allows them to go to the website, choose how many cookies they would like to order from the Service Unit. Everything is tracked via email, just to be sure that there is a great data trail! The system keeps track of how many cookies have been ordered, received, as well as how much money should be in the council and troop accounts by the end of the cookie sale. The system is completely configurable. We are adding some incentive tracking as well as tracking by girl in our next release which is due out before the start of the Girl Scout Cookie Sale 2007! This system is NOT a replacement for the Little Brownie Bakery's eBudde system, or for the ABC Bakery's system. It is an enhancement which handles the features that service units need in order to keep track of the cookies that have come into the service unit from their cupboards and distributed to their troops. For example, if you order cookies through eBudde, you can ONLY set up your first order. You are unable to re-order cookies from the service unit as a troop, or as an individual. This means that if you run out of cookies, you will be unable to order more electronically through the eBudde system, which then means sending an email, or making a call your SUCM to get more cookies for your troop. In Seattle, the Cookie Cupboards are open only in the early mornings, so getting your order in the night before was imperative. As long as a troop entered their order into the system before 8am, their orders were able to be filled by the SUCM that day. This creates great turn around and an easy communication line which does not include telephone calls at all hours of the morning and night. More sleep for the SUCM means a happier and less stressed SUCM volunteer! Your SUCM only needs to check the website before heading to the cookie cupboard with their order. If your Council is online with the system, then you have full access from council down through the troops which will enable full, electronic tracking of all cookies! This system is also designed to help you keep track of troop to troop cookie transfers, as well as taking in the receipt number for easy tracking and order searching. Imagine your last 2 days of paperwork cut because you not only know where all your cookies have gone, but you also have an electronic spreadsheet that everyone can help you fill out by ordering through the system! The Cookie Sale Management System and Site Sale Management System were created by Ilene Jones, a Girl Scout Volunteer, for the Issaquah Girl Scouts Service Unit 444, and have been used successfully by the Issaquah, WA Girl Scouts (SU444) for the last 4 years. Ilene continues to run the Issaquah Service Unit Website, from Florida where she is now a member of Citrus Council's Running River Service Unit and is an active volunteer and co-leader for her daughters' troop. She has just rolled out the Running River website, and has expanded the system to include an Events Calendar with Registration ability, news, and of course, the cookie system. |
